Bluepod Media Ltd is the worlds largest bluetooth proximity marketing company specialising in mobile advertising.  With advertising contracts with the whole of the UK Cinema Chains, Live Music Events, Premiership Football Stadia, Shopping Malls both in the UK and the rest of the World including Chile, Brazil, USA, China. We are experiencing a huge growth spurt and are urgently seeking an outstanding Operation and Administrator to help run and organize both the studio design department and the Network Systems department. We are looking for an experienced administration manager to manage a team of resources to administer sales order processing, estimating, customer service (facing) and data management with a clear focus on meeting customer expectations and achieving challenging and daily targets. You will have an excellent background in a similar role preferably within a service or telecoms delivery industry relationship management/including client and colleague an excellent standard of education people management skills and a proven track record in customer service.

 

The main duties include:

• Maintaining the administrative function;

• Providing assistance to the COO;

Analyzing/collating available data from within the Company;

• Organizing booking transport and organizing the preparation for dispatching pods to locations

• Undertaking and assisting in recruitment/vetting;

Organizing and liaison with different departments within the Company;

• Calling clients to gather information and asking them for help.

JOB DESCRIPTION

POST: Operations and Administrator

RESPONSIBLE TO:                            Chief Operating Officer

MAIN PURPOSE OF JOB:

To maintain and oversee of all Operational administrative processes and apply due diligence to all company policies and procedures to ensure Bluepod Media Ltd. Can continue its pace of growth.

PRINCIPLE ACCOUNTABILITIES:

1. Maintaining the administrative functions in the Bluepod Media Ltd. Office.

2. Providing assistance to the COO

3. Analyzing/collating available data, from within the company and maintaining relevant databases to produce executive summaries based on this information.

4. Producing monthly statistical (including spreadsheets), reports on behalf of Bluepod Media Ltd.

5. Handling/pursuing enquiries and providing information on the telephone relating to the Operations/Company as appropriate.

6. Client facing and liaising both internally and externally.

7. Administering Company related document control/s.

8. Undertaking and assisting in certain Bluepod Media Ltd. personnel related activities such as recruitment/vetting.

9. Maintaining oversight and diligence of specified budgets on behalf of the COO.

10. Supporting external engineering contractors via ordering & sourcing as requested by the COO.

11. Placing orders for various equipment & services as requested by Managers in the Company.

12. Organizing purchasing for the Company as appropriate.

13. Other general clerical duties.

FRAMEWORK AND BOUNDRIES

The post holder has responsibility for the administrative functions of Bluepod Media Ltd. Operations He/she will liaise closely with internal company Managers, statutory organizations ABCE, MMA, and external auditors to achieve this. The post holder will assist and support the COO in a range of Company related initiatives. 

 

SUPERVISION RECEIVED

Operations and Administrator reports to the COO.

SUPERVISION GIVEN

Operations and Administration Manager post has no direct reports.

CONTACTS

The post holder will liaise and have regular contact with the COO, Studio Manager, Business Development & Commercial Managers, MD’s of Overseas Offices, Sales Directors and Partner Business Units, External Statutory Organizations and Auditors.

QUALIFICATIONS AND EXPERIENCE

Qualifications:

Recognized administrative qualification (i.e. NVQ Administration Level 3 or equivalent).

Specific Experience:

Previous experience in a similar administrative role, with associated MS Office software applications skills (i.e. Word, Excel Access etc.  Experience of the Telecoms industry and related regulatory framework is desirable but not essential.

ADDITONAL INFORMATION:

This post is non-shift working and not uniformed, but some out of hours work maybe necessary this will be held in days in a bank. The holder must not have a serious criminal record. All convictions which are unspent in relation to the Rehabilitation of Offenders act 1974 (as amended by the Criminal Justice and Public Order Act 1994), must be declared on application for the role. Each case will be considered on merit and having a criminal record will not automatically prevent and individual from being considered for this post.  Some international and UK travel maybe required so post holder would need a driving license – this is not essential
